Administrative Assistant (GMG/AM 2) (VACANT) - Entertainment Policy and Monitoring Division

Salary Range: $939,448- $1,116,709 per annum


Under the general supervision of the Senior Director, Entertainment, the Administrative Assistant is required to assist in the delivery of efficient and effective administrative and general secretarial services to the Entertainment Division.


  • Manages the Senior Director’s diary, scheduling appointments, meetings etc;
  • Provides administrative and support services  to the Directors of the Division;
  • Assists with research in the preparation of Operational and Work Plans as well as Quarterly/Monthly status reports on the work of the Division;
  • Assists with the management of the Divisions budget;
  • Prepares commitment vouchers and processes invoices to facilitate payments to suppliers;
  • Conducts research to gather information for preparing conference papers, policy decisions and for meetings/discussions as required;
  • Sorts and distributes correspondence (print and electronic), and assists with the follow-up on special requests made of the Senior Director;
  • Provides logistical support for seminars, meetings, press conferences and other events that are being organised by the Division;
  • Attends meetings with the Director, upon request, takes notes/minutes, transcribe and circulate information, where requested;
  • Responds intelligently to official enquires about the work of the Division and where necessary, refers these enquiries to the appropriate officers.

  • Proficient with the use of computers and is able to use all Microsoft applications including spreadsheets, word processing, database management, presentation and other graphics-related programmes;

  • Diploma in Administrative Management, Business Management or Public Administration;
  • Secretarial Diploma from a recognised institution;
  • A minimum of two (2)  years’ experience  in Administrative Management;
  • Knowledge of Accounts would be an asset
